Prague Local Friends – Terms & Conditions

1. The Contract

A binding contract between the Client and Prague Local Friends s.r.o. is formed once the deposit or full payment is received.
The contract is governed by Czech law, and any disputes fall under the exclusive jurisdiction of Czech courts.

Individual agreements or special arrangements are valid if confirmed in writing (e-mail is sufficient).

2. Payments, Deposits & Fees

A non-refundable deposit may be required to secure a booking.
Deposits and online payments processed via card or payment gateway include a 3 % processing fee, which is non-refundable.

The outstanding balance is typically paid in cash on the day of the tour, unless otherwise agreed.

High-demand dates

Selected dates (Advent weekends, Christmas season, New Year's period, special events) may require higher deposits or stricter cancellation terms. These will always be communicated in advance in your booking confirmation.

3. Cancellations & Refunds

If the Client Cancels (standard private tours):

• More than 16 days before the tour: refund of all amounts except transaction fees.

• 15–11 days before the tour: 50 % cancellation fee.

• 10 days or less before the tour: 100 % cancellation fee (no refund).

No-shows are charged at 100 %.

If your tour was booked under special seasonal conditions, the cancellation terms listed in your confirmation take priority over the standard policy above.

4. Changes by the Client

Any modifications must be requested by e-mail by the person who made the booking.
We always try to accommodate changes, but availability cannot be guaranteed.

5. Changes by Us

We aim to operate all tours as agreed. However, due to local conditions (weather, closures, traffic, events), it may be necessary to adjust the itinerary.
If a major change is required, we will notify you as soon as reasonably possible.
Substitutions of comparable value do not qualify for compensation.

6. Cancellation by Us

We reserve the right to cancel a tour only in exceptional circumstances (e.g., illness, safety concerns, extreme weather).
If we must cancel, you will receive a full refund of payments made to Prague Local Friends.
We are not liable for additional costs incurred by the Client (such as transportation or accommodation).

7. Weather

Tours operate in all weather conditions unless conditions are deemed unsafe.
Clients are responsible for appropriate clothing and footwear.

8. Travel Insurance

Clients participate at their own risk. Prague Local Friends is not responsible for loss, injury, damage or delays caused by circumstances beyond our control.
We strongly recommend suitable travel insurance, especially for international guests.

9. Health, Mobility & Participation

Our tours usually involve moderate urban walking.
Clients are responsible for ensuring they are physically able to participate.

Please inform us in advance of any medical conditions, disabilities or mobility limitations. We will always do our best to adapt the tour safely and comfortably.
We reserve the right to refuse participation to anyone whose behaviour or condition poses a risk to themselves or others.

10. Behaviour & Local Laws

Clients are expected to behave respectfully toward the guide, other people, and local property, and comply with Czech laws during the tour.
If a Client behaves in a way that endangers others or disrupts the tour, we may terminate their participation without refund.

11. Passports & Visas

For Prague city tours, passports are rarely required.
For cross-border excursions, Clients are responsible for holding valid travel documents and visas.

12. Complaints

If you encounter a problem during the tour, please notify your guide immediately so we can resolve it on the spot.
If the issue remains unresolved, you may submit a written complaint within 10 days after the tour to:

13. Personal Data & Privacy (GDPR)

We only collect personal data necessary to arrange your tour and communicate with you.
We never sell or share your data with third parties, except payment processors required to handle online payments.
You may request deletion or correction of your data at any time.

14. Liability

Prague Local Friends is not responsible for delays, closures, weather conditions, traffic restrictions, strikes, or events outside our control that may affect the itinerary.
By joining a tour, Clients acknowledge the normal risks associated with urban walking and sightseeing.
